01Information We Collect
To operate the Virginia Food, Inc. Ordering System and fulfill your orders, we collect the following information directly from you and from your use of the platform:
- Phone number: Used as your account identifier and for SMS-based authentication. Required for all users.
- Name and business name: So our staff and delivery partners know who they are working with.
- Delivery address: Required to fulfill your orders, calculate delivery fees, and route to the correct Virginia store or 3PL partner.
- Order history: All orders placed through your account, including line items, prices, payment method, fulfillment status, and timestamps.
- Payment proof: Screenshots or photos of your GCash or bank transfer receipts that you upload to confirm payment.
- Device and usage information: IP address, browser type, operating system, and pages visited, collected automatically through standard web analytics.
02How We Use Your Information
We use the information we collect for the following purposes:
- Processing, confirming, and fulfilling your orders.
- Managing your account and verifying your identity at login.
- Sending you SMS notifications about order status, payment verification, and delivery updates.
- Improving the platform: identifying bugs, measuring feature usage, and enhancing the user experience.
- Complying with legal, tax, and regulatory obligations.
- Preventing fraud and protecting the security of our platform and our customers.
We do not use your information for unsolicited marketing or third-party advertising.
03Information Sharing
Virginia Food, Inc. does not sell, rent, or trade your personal information. We share your information only in the following limited cases:
- Virginia fulfillment staff: Store staff and administrators access your order details, contact info, and delivery address as needed to fulfill your order.
- Third-party delivery partners (3PL): For orders shipped beyond the standard 10 km radius, we share your name, contact number, delivery address, and order details with the 3PL partner handling the shipment. Only the minimum information required to deliver the order is shared.
- Legal and regulatory requirements: We may disclose information when required by Philippine law, court order, or legitimate government request.
04Data Retention
We retain your account data for as long as your account remains active. If you deactivate your account, we retain order records, payment proofs, and related data for an additional three (3) years to comply with Philippine tax, audit, and consumer protection regulations.
After the retention period expires, your data is permanently deleted from our active systems and backups, except where longer retention is required by law.
05SMS Communications
By registering on VOS, you consent to receive SMS messages from Virginia Food, Inc. for the following purposes:
- One-time passcodes (OTP): For account login and identity verification. These are essential to use the platform.
- Order status updates: Notifications when your payment is verified, your order is confirmed, your order is out for delivery, and your order is completed.
Standard SMS rates from your mobile carrier may apply. To opt out of order status updates while keeping your account active, contact our support team.
06Security
We take the security of your information seriously and apply the following safeguards:
- Authentication: All logins are secured by SMS-based OTP via Firebase Authentication.
- Encrypted storage: Sensitive data is stored using Google Cloud encrypted infrastructure.
- Restricted access: Only authorized Virginia staff with a documented business need can access your information, scoped by their assigned role and store.
- Audit logs: Administrative actions on customer accounts and orders are logged for accountability.
While we apply industry-standard security practices, no system is completely secure. If you suspect unauthorized access to your account, please notify us immediately.
07Your Rights
Under the Philippine Data Privacy Act (RA 10173), you have the following rights regarding your personal data:
- Right to access: Request a copy of the information we hold about you.
- Right to correct: Request that we update inaccurate or incomplete information.
- Right to deactivate: Request that your account be deactivated and your data removed (subject to the retention requirements above).
- Right to data portability: Request an export of your account and order data in a structured format.
To exercise any of these rights, contact our support team. We will respond within 30 days.
08Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will notify you through the platform or by SMS before the changes take effect. The Last updated date at the top of this policy reflects the most recent revision.
